Some documents require to be notarized prior to being apostilled, while other documents require certified copies from a State or County Agency.

Common Documents

Vital Documents

Birth Certificates have to be signed by a State Registrar. The signature of the State Registrar will appear towards the bottom of the Certificate. If your Birth Certificate was issued in 2017 or forward, then it should automatically have the correct signature on the Certificate.

If you obtained the birth certificate before 2016, please read the information below.

In Florida, only a State-Level Birth Certificate qualifies to be apostilled. The difference between a State and County-Level Certificate is the authority of the signer. All State-Level Certificates are signed by a State Registrar, while most County Certificates are signed by a Chief Deputy Registrar. The signature of the State Registrar will appear towards the bottom of the Certificate. Verify that your Certificate states State Registrar and that the name of the signer matches the name of the registrar printed.

If your Birth or Death Certificate isn’t signed by one of the State’s Registrars listed above, then you likely have a County-Level Birth Certificate. How to Obtain a New Certificate

The computer copy or book copy can be apostilled. The book copy may provide more information about the child’s parents on the certificate. If in doubt, request a book copy.

If you have additional documents that also need to be apostilled, have the new Certificate shipped to you, and then send us all your documents at the same time.

Two types of Marriage and Divorce certificates exist. The two types are distinguished as either a state-level or a county-level document. Either type may be apostilled.

County Marriage or Divorce Certificates:
Marriage and Divorce Certificates certified by a county clerk of court qualify to be apostilled. A certified copy of a Marriage or Divorce Certificate will have an original ink stamp along with verbiage that reads similar to the following: “I hereby certify that the foregoing is a true and correct copy of the original on file in this office.” Near this verbiage will be the clerk’s stamp and the signature of one of the county clerks.

The State fee is $20.00 for county documents.

State-Level Marriage or Divorce Certificates:
If your Marriage or Divorce certificate is one page printed on mostly blue paper and signed by a State Registrar, then it qualifies to be apostilled. Some of the recent State Registrars are: Ken Jones, C. Meade Grigg, Oliver Board, Charles Mahan, and Edward Williams.

The State fee is $10.00 for State-level documents.

‘How to Obtain a New Marriage or Divorce Certificate’
To obtain a new certificate, visit www.vitalchek.com.

There are two ways to prove your single status. I suggest contacting the receiver in the other country to verify which method they prefer.

The most common process is to visit your local county clerk of court and have them perform a marriage history search of your name. If no records are found of you being married, then you can request a certified copy of the search from them.

The State fee for this document is $20.00

Another option that exists is to make a formal statement and have the statement notarized in front of a Florida notary. You would simply write a short letter stating you are not currently married and are eligible to be married. This letter would be signed by you in front of a Florida notary.

First, visit your local county clerk of court office. They will provide you with a declaration of domicile. You will sign it at the courthouse in front of a notary, then have the courthouse record the domicile. Once it’s recorded, request a certified copy of the domicile.

All these steps should be completed at the courthouse.

  • 1st Obtain and sign the domicile.
  • 2nd Record the domicile.
  • 3rd Request a Certified Copy.

It’s a common procedure, and the clerks at your local county courthouse should be able to walk you through it.

Once you have obtained the certified copy, you can send it to our office to be apostilled.

School Documents

The original diploma or a photocopy of a Diploma may be apostilled. Any Florida notary can notarize a copy of the diploma by using the Attested Copy notary form. On the long blank of the notary form, the notary will describe the document, and then the document custodian will be the name of the person who is in possession of the diploma. Then the copy of the diploma can be apostilled.

If you have to have an original diploma apostilled, the Original Diploma would have to be notarized at the school. You would have to request a notarized original from the school.

You have to request a notarized transcript from the school. Schools will typically provide sealed transcripts; however, unless you specifically requested a notarized transcript from the school, it’s unlikely to be notarized. The school can send one to our office directly, and then you may pay by credit card.

Court Documents

Certified copies obtained from a Florida County Clerk of Court can be apostilled. These typically are either Marriage, Divorce, or certified copies of any court case on file with the county clerk’s office.

The certified copy will have the stamp and signature of the county clerk present, as well as verbiage similar to: I hereby certify the foregoing is a true and correct copy.

The State fee is $20.00 per certified document. The document can be any number of pages.

Any Criminal History or Criminal Background Check issued by a Florida Police, Sheriff, or F.D.L.E. (Florida Department of Law Enforcement) must be notarized by a Florida Notary first. A certified criminal history may be used within the United States; however, it does not qualify to be apostilled unless it’s notarized by a Florida notary first.

It is best if you obtain the notarized criminal history from the issuing department. If the local Police or Sheriff’s office cannot provide you with a notarized criminal history, you can write a short descriptive letter stating something along the lines of I, John Smith, acknowledge that the attached is a true original Criminal History Search obtained by me. Then you’d sign the letter in front of a notary.

Additionally, we can obtain an F.D.L.E. Criminal History Search for you in Tallahassee. The F.D.L.E. results are notarized and take approximately 5–10 business days to be completed.

Corporate Documents

Commercial Invoices are either signed in front of a notary, and the notary witnesses the signer’s signature. This can be done by adding a statement to the invoice. The statement may read similar to I, John Smith, Authorized Representative of Your Capital Connection, Inc., state this is a true copy or true original invoice for my company. Then a signature line would be present for John Smith to sign the statement in front of a notary. The statement can be a separate letter or written on the invoice.

When notarizing the document, have the notary use the following Acknowledgment notary form. The notary can either handwrite in the wording found on the form or notarize the form itself. If the notary notarizes the form, then we suggest also asking the notary to stamp your document near your signature.

Additionally, a Notary can make a copy of a Commercial Invoice.

They would first make a copy of the original and then notarize it using the notary form. On the long blank of the notary form, the notary will list a description of the document that is being attached, and the document’s custodian is whoever presented the original to the notary. The custodian has to be a natural living person, not a corporation.

The custodian can be a person or a representative of a company, for example, John Smith, CEO of Your Capital Connection, Inc.

Or, they could just list John Smith as the custodian, which would work.

Listing just Capital Connection, Inc. would not work.

Individuals:
If your Bill of Sale is to sell property in another country, simply sign the paperwork in front of the notary and have the notary notarize the Acknowledgment form below. Click Here To Open Acknowledgment Notary Form.

Corporations:
Bills of Sale are either signed in front of a notary, and the notary witnesses the signature of the signer. This can be done by adding a statement to the Bill of Sale. A Certificate of Free Sale has to be obtained by contacting the Florida Department of Agriculture and Consumer Services. They will provide your company with a notarized certificate of free sale, which we can then apostille. It’s the same process for Good Manufacturing Practices if you need to obtain a certificate of free sale.

Depending on your type of company and the services you provide, they should be able to issue you one or direct you to the corresponding department.

Certificates of Status/Certificates of Good Standing.

In order to qualify to have the Articles or Good Standing Apostilled for a Florida Corporation, a certified copy from the Division of Corporations is required. We can obtain Good Standing and/or Certified Copies of Articles from the Division of Corporations in Tallahassee for you and then have them apostilled. Good Standing or Certified Copy of Articles of Incorporation/Organization are the most common documents.

Florida Good Standing for corporations certified by the Division of Corporations qualifies to be apostilled.

Florida Certified Copies of Articles of Incorporation (Inc.) or Certified Copies of Articles of Organization (LLC) qualify to be apostilled.

The State fee is $10.00 for State Certified Documents.

Companies’ Operating Agreement or Minutes & Bylaws can be apostilled.

An officer of the company would present the original and one copy of the original to a Florida Notary. Then the notary would complete the Attested Copy Notary Form and staple it to the copy. Then you would send us the notarized copy.

On the long blank of the notary form, the notary will list a description of the document that is being attached, and the document’s custodian is whoever presented the original to the notary. The custodian has to be a natural living person, not a corporation.

The custodian can be a person who is a representative of a company, such as John Smith, CEO of Your Capital Connection, Inc.

Or they could just list John Smith as the custodian, which would work.

Listing just Your Capital Connection, Inc. would not work.

Notarized Documents

Any document that is not a state or county certifiable document must be notarized by a Florida notary before qualifying to be apostilled.

Some examples are as follows: Power of Attorney, Permission letter to travel abroad, Photocopies of Passports, any document maintained internally by a corporation, bills of sale, commercial invoices, minutes, bylaws, etc.

When notarizing the document, if an individual has to sign it, then have the notary use the following Acknowledgment notary form. The notary can either handwrite in the wording found on the form or notarize the form itself. If the notary notarizes the form, then we suggest also asking the notary to stamp your document near your signature.

For Passports, Driver’s Licenses, Diplomas, and any document that is being copied and not signed by an individual, the notary should use the following attested copy notary form.

When using the notary form, on the long blank, the notary will list a description of the document that is being attached, and the document’s custodian is whoever presented the original to the notary. The custodian has to be a natural living person, not a corporation.

A photocopy of a passport notarized by a Florida notary qualifies to be apostilled. Open the Attested Copy notary form below, and take it with you to the notary.

The notary will make a copy of your passport. Typically, only the picture page is copied. On the notary form, the notary will list a description of the document on the long blank of the notary form, and then the document custodian is the person who is in possession of the original. (If it’s your passport, then you’re the document custodian.)

The notary will make a copy of your Driver’s License. On the notary form, the notary will list a description of the document on the long blank of the notary form, and then the document custodian is the person who is in possession of the original. (If it’s your Driver’s License, then you’re the document custodian.)

A notarized letter by a parent or guardian giving permission to a child under the age of 18 to travel alone, or with another individual, must be notarized by a Florida notary before being apostilled. Please note that two separate letters may be required. One letter is for traveling from our country, and a separate letter is for returning to our country. It’s up to you to determine the requirements of the country the child will be traveling to.

A power of attorney notarized by a Florida notary qualifies to be apostilled.

Print the below acknowledgment notary form and take it with you to the notary. The notary form can be notarized and attached to your letter, or the wording can be handwritten or typed onto your letter. If the notary uses the notary form and staples it to your letter, then we suggest having the notary place the notary stamp near your signature as well. If two individuals are signing a power of attorney, one notary form can be used for each signer.

Vehicle Titles can be apostilled so long as they bear the signature of one of the Directors of DMV. If your document isn’t signed by a Director of DMV, then take it to your local DMV, and they will replace it with a more current one. The replacement should be signed by the current director.

Certified Driving History can also be apostilled. It will be signed by one of the Directors of DMV. The State fee is $10.00 for DMV Driving History.

Translations of documents needing to be apostilled would first be translated by any person fluent in both languages, then that person would sign a letter verifying they performed the translation in front of a Florida notary.

The translation letter below should be completed, signed, notarized, and then attached to the translated document.

Letters from Social Security typically will show your benefits and the amount of money you are currently receiving.

After you have received the document from Social Security, you will have to draft a letter attesting to its validity. You are mainly creating a descriptive letter that you are signing.

For example, the letter may read, I, John Smith, do attest that the attached is an original letter provided to me by the US Social Security Administration, which details the benefits I receive.

Then you’d sign the statement in front of a notary. The notary will witness your signature and will use the acknowledgment notary form below. Then, the signed letter, notary form, and social security document will be stapled together.

We have a basic example letter you may use; however, we can’t guarantee this will meet the requestor’s requirements in the destination country you are sending the documents to. It’s best to draft your own letter and include specific descriptive details that can be found in the Social Security document provided to you. Funeral Homes

It is signed by a Current State Registrar or one of the following State Registrars.

Has to be notarized. Ideally, have the person who issued the letter sign a new one in front of a Florida notary. Usually, these are provided at the health department. The Acknowledgment in Individual or Representative notary form should be used.

If you can’t obtain a notarized non-contagious disease letter, then a representative of the Funeral Home can write a letter describing the attached as an original obtained by them and sign that letter in front of a Florida notary.

It’s more official if it’s notarized at the health department, though the state will accept the notarized statement from the funeral home. The notarized statement from the funeral home is normally only done if time is an issue or if they have trouble obtaining one. When signing the letter, have the notary use the form below.

Has to be notarized. Have a person who performed cremation sign in front of a notary and use acknowledgment in individual or representative notary form. A representative of the Funeral Home can also sign, stating that the attached is an original Cremation Certificate.
